Privacy Policy

We’re Cleaning Chief NYC Inc. a residential and commercial cleaning company headquartered at 608 W 138th St, New York, NY 10031, serving Manhattan, Brooklyn, Queens, the Bronx, Staten Island, and parts of New Jersey. You can reach us at (332) 232-3422 or info@cleaningchief.com.

Here’s the short version of this policy:

  • What we collect: what we need to clean your home or business — your name, address, phone, email, payment info, and notes about your space and preferences.
  • What we don’t do: we don’t sell your personal information for money. We do share online identifiers with advertising and analytics partners (Google, Meta, etc.); California law calls this “sharing,” and you can opt out — see §11.
  • Texts and emails: booking confirmations and reminders are part of the service. Marketing only happens if you opt in. Reply STOP to texts; click unsubscribe in emails.
  • Your rights: ask what we have, fix it, delete it. Email privacy@cleaningchief.com. We respond within 30 days.
  • Security: encryption in transit, restricted access, vetted vendors, and a written information security program on file. Payment data lives at our PCI-compliant payment processor, not on our servers.

1. Who we are and what this policy covers

Cleaning Chief NYC Inc. (“Cleaning Chief,” “we,” “us”) is a New York corporation that provides residential cleaning, commercial cleaning, Airbnb turnover, deep cleaning, post-construction cleaning, move-in/move-out cleaning, optional eco-friendly cleaning, laundry services, event cleaning, and carpet and upholstery services across the five boroughs and parts of New Jersey.

This Privacy Policy explains how we collect, use, share, and protect personal information when you visit our website, request a quote, book a service, communicate with us, or interact with our marketing.

This policy applies to information we collect online and offline. It does not apply to third-party websites we link to — please read their privacy notices separately.

2. Information we collect

Identity and contact information

  • Name, billing address, service address, email, phone number.
  • Account credentials if you create an online account.

Service information

  • The type of cleaning booked, frequency, square footage, number of rooms, special instructions, access details (lockbox codes, doorman info, pet notes), preferred cleaner.
  • Photos or notes you send us about specific concerns or areas.
  • Customer service correspondence.

Payment information

  • Card type, last four digits, billing zip, transaction history.
  • Full card numbers are entered directly into our PCI-DSS-compliant payment processor (Stripe). We do not store full card numbers on Cleaning Chief systems.

Marketing information

  • Email open and click activity, text-message engagement (where you’ve consented), referral sources.
  • Survey responses and reviews you submit to us directly.

Technical information (collected automatically)

  • IP address, device type, browser type, operating system, pages viewed, referring URL, timestamps.
  • Cookies and similar technologies — see our Cookies Policy and §9 below.

Location information (only with consent)

  • Approximate location for service-area matching, where you grant permission through your browser or device.

Information from third parties

  • Lead information from platforms like Thumbtack when you contact us through them.
  • Public reviews you post on Google, Yelp, or similar.

We do not collect Social Security numbers, government ID numbers, biometric information, or precise geolocation beyond the service address you give us.

3. How we use your information

  • Providing services: scheduling, dispatching cleaners, processing payments, completing your booking.
  • Customer support: responding to questions, resolving complaints, processing refunds.
  • Communications: sending booking confirmations, reminders, follow-ups, and (with your consent) marketing.
  • Improving our services: training cleaners, refining our supply lists, identifying recurring quality issues.
  • Legal and tax compliance: New York State recordkeeping, IRS recordkeeping, sales tax filings, NYC DCWP requirements, responding to subpoenas or law-enforcement requests when legally required.
  • Fraud prevention and security: detecting and preventing payment fraud, account takeover, and abuse.
  • Personalization: remembering preferences (preferred cleaner, eco product preferences, gate codes).

4. How we share your information

We share information with these categories of recipients:

  • Cleaning professionals assigned to your service — only what they need to do the job (name, address, access details, service notes).
  • Service providers that help us run the business: payment processors, scheduling and CRM software (BookingKoala), email and text-messaging providers, web hosting, analytics, accounting, and customer-support tools. They are contractually required to protect your information and use it only for the purposes we direct.
  • Advertising and analytics partners including Google, Meta (Facebook/Instagram), and similar networks, for measuring campaign performance and delivering relevant ads. Under California law this counts as “sharing” — see §11 for opt-out.
  • Legal authorities when we are required by law (subpoena, court order, or other valid legal process), or where disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Acquirers in the event of a merger, acquisition, or sale of assets — your information would transfer to the acquiring entity, which would be bound by this policy.

We do not sell your personal information for monetary consideration. We do share certain online identifiers with advertising partners as described above, which the California Consumer Privacy Act (as amended by the CPRA) defines as “sharing.” See §11.

5. How long we keep your information

We retain information for the periods set out below. After the retention period, we delete or de-identify the information unless a longer period is required by law.

If you ask us to delete your information sooner, we will do so to the extent the law allows — see §10.

6. Information security

We maintain a written information security program designed to comply with the New York SHIELD Act (General Business Law §899-bb) and reasonable industry practice. The program includes:

  • A designated security coordinator.
  • Periodic risk assessments and a documented response to identified risks.
  • Vendor security diligence with written contractual safeguards (data processing terms, breach-notification commitments).
  • Access controls. Personal information is limited to personnel and contractors with a legitimate need.
  • Encryption in transit (TLS) for data submitted through our website, and encryption at rest where appropriate.
  • Privacy and security training for employees and contractors.
  • Incident response procedures and breach-notification commitments consistent with NY SHIELD Act timing requirements.
  • The retention schedule in §5 so we don’t keep data longer than we need.

Payment card data is processed by a PCI-DSS-compliant payment processor (Stripe). We do not store full card numbers on Cleaning Chief systems.

No system is perfectly secure. If we ever experience a breach affecting your information, we will notify you and the relevant authorities as required by law.

7. Text communications

We send three types of text messages:

Transactional texts — booking confirmations, “your cleaner is on the way,” appointment reminders, billing updates. These are part of providing the service. By booking with us, you consent to these texts.

Customer service texts — replies to questions you’ve sent us, follow-up on a specific job, photos of completed work.

Marketing texts — promotions, seasonal reminders, new service announcements. We send these only with your prior express written consent. Consent is captured at signup with a separate, optional checkbox; you can use our service without opting in.

For all of the above:

  • Reply STOP to opt out of further messages from that program.
  • Reply HELP for help, or contact us at (332) 232-3422 or info@cleaningchief.com.
  • Message frequency varies. Message and data rates may apply.
  • Carriers are not liable for delayed or undelivered messages.

Opting out of marketing texts does not opt you out of transactional texts, which are necessary for service delivery. To stop transactional texts you would need to cancel your service.

8. Email communications

Every marketing email includes a clear unsubscribe link, our physical postal address (608 W 138th St, New York, NY 10031), and identification of the email as a commercial message where required. We honor unsubscribe requests within ten business days.

Transactional emails (booking confirmations, receipts, service updates) are part of providing the service and are not subject to unsubscribe.

9. Cookies and tracking

We use cookies and similar technologies to operate our website, remember your preferences, measure performance, and deliver relevant advertising. You can manage cookies through the Cookie Preferences link in our website footer and through your browser settings. The full list of cookies we use is in our Cookies Policy.

10. How to exercise your rights

You have the following rights with respect to your personal information:

  • Access — ask us what we hold about you.
  • Correction — ask us to fix information that is wrong.
  • Deletion — ask us to delete your information, subject to legal exceptions (e.g., we keep tax records for 7 years).
  • Portability — ask for a copy of your information in a machine-readable format.
  • Opt out of sharing — see §11.
  • Withdraw consent — for marketing communications, at any time.
  • Non-discrimination — we won’t deny service, charge a different price, or provide a different level of service because you exercised a privacy right.

What we’ll do:

  • Confirm receipt within 10 business days.
  • Verify your identity (we may ask you to confirm details we already have on file).
  • Respond substantively within 30 calendar days. If we need more time, we’ll tell you and explain why; total response time will not exceed 60 days unless legally permitted.
  • Tell you the outcome and your right to appeal if we decline.

Authorized agents. California residents may use an authorized agent. We will require signed written permission from you and may verify your identity directly.

11. California residents

This section applies if you are a California resident.

Notice at collection. We collect the categories of personal information described in §2. The sources are: directly from you, automatically from your device, and from third parties such as lead platforms (Thumbtack) and advertising partners. The business purposes are described in §3. The categories of recipients are described in §4.

Categories collected in the last 12 months:

  • Identifiers (name, address, email, phone, IP address).
  • Customer records (payment information, service records).
  • Internet activity (browsing on our website).
  • Geolocation (the service address you give us).
  • Commercial information (services purchased, transaction history).
  • Inferences (preferences and characteristics drawn from the above).

Sale and sharing. We do not sell your personal information for monetary consideration. We do share online identifiers and behavioral data with advertising partners (Google, Meta, and similar) for cross-context behavioral advertising. Under the CPRA, that is “sharing.”

Your right to opt out of sharing — Do Not Sell or Share My Personal Information. You can opt out by:

  • Clicking the Do Not Sell or Share My Personal Information link in our website footer (which links to this section).
  • Emailing privacy@cleaningchief.com with subject line “Do Not Sell or Share.”
  • Setting a Global Privacy Control (GPC) signal in your browser. We honor recognized GPC signals automatically.

Sensitive personal information. We do not use sensitive personal information for purposes that would require us to offer a separate “Limit the Use of My Sensitive Personal Information” right under the CPRA. Access details such as lockbox codes are treated as confidential under §6 and are deleted on the retention schedule in §5.

Other California rights. California residents have all of the rights described in §10, plus the right to opt out of sharing and the right to non-discrimination. To submit a request, see §10.

12. EU/UK residents

Cleaning Chief provides services to customers located in New York and the surrounding metropolitan area. Our services are not directed to residents of the European Union or the United Kingdom, and we do not target marketing to EU or UK residents.

If you reside in the EU or UK and visit our website, please do not submit personal information through it. If you do, certain rights under the GDPR or UK GDPR may apply; you may contact us at privacy@cleaningchief.com to discuss.

13. Children

Our services are not directed to individuals under the age of 18, and we do not knowingly collect personal information from anyone under 18. We do not knowingly collect personal information from children under 13 within the meaning of the Children’s Online Privacy Protection Act (COPPA).

By booking a service or creating an account, you represent that you are at least 18 years old and authorized to bind any property occupant or owner on whose behalf you are booking.

If you believe we have inadvertently collected information from a minor, please contact us at privacy@cleaningchief.com and we will delete it.

14. Changes to this policy

We will update this Privacy Policy from time to time. The effective date at the top reflects the most recent update.

For material changes — changes that meaningfully affect how we collect, use, or share your information — we will give you at least 30 days’ prior notice by email and through a banner on our website. Material changes take effect on the date stated in the notice; if you do not agree, you should stop using our services before that date.

For non-material changes (clarifications, formatting, contact-information updates), the change takes effect when the updated policy is posted.

We will keep prior versions available on request.
